Gemini can now trigger Workspace actions from any app you are in
Google said Sept. 9, 2026, that Gemini can trigger actions in other Google Workspace apps from Chat, Drive, Docs, Slides or Gmail without switching.
Gemini can now act as an “intelligent orchestrator” across Google Workspace, triggering actions in apps other than the one a user is currently in, Google said in a post on the Workspace Updates blog dated Sept. 9, 2026. The capability is powered by what Google calls “Workspace Intelligence,” according to the post.
What changes
Users can now prompt Gemini from inside Chat, Drive, Docs, Slides or Gmail to trigger actions in other apps without switching to them, Google said. Previously, getting personalized Gemini help required being inside the specific app doing the work, such as being in Sheets to build a spreadsheet, according to the post.
The post lists five things the capability covers, per the announcement: creating formatted Docs, structured Sheets or Slides in the background and saving them to Drive; a “deep research” mode that synthesizes information scattered across folders or long threads into a summary report with source attribution; drafting and sending emails based on meeting notes or documents from whichever app a user is in; finding open times, scheduling meetings and resolving calendar conflicts without opening Calendar; and creating reminders and to-do items that go straight into Google Tasks.
Guardrails Google names
Google said the feature carries three controls. Data from these interactions is not reviewed by humans or used to train Gemini models, Google said. Gemini respects a user’s existing access permissions and sharing policies, so it cannot reach a document the user could not already open, according to the post. For any action with an effect outside Workspace, such as sending an email or scheduling a meeting, Gemini shows an interactive preview card that a user must review and confirm before it executes, per the announcement.
Rollout, access and limits
A gradual rollout across both Rapid Release and Scheduled Release domains started Sept. 2, 2026, with up to 15 days for full feature visibility, Google said.
The feature is available to Business Standard and Plus, Enterprise Standard and Plus, Frontline Plus for the scheduling function only, Education Add-ons Google AI Pro for Education and the AI Expanded Access add-on, according to the post. Consumer Google AI Pro and Google AI Ultra subscribers also get it, though scheduling is excluded from the AI Pro tier, Google said. Use is subject to usage limits, which Google did not specify, per the announcement.
At launch, the feature supports English only, with more languages promised in the future, Google said. Google also said the same orchestration capability will soon power the flows built in Workspace Studio, according to the post.
Analysis
The functional change is smaller than the “orchestrator” label suggests: Gemini is not gaining new abilities, it is gaining a longer reach for the ones it already had inside each app. Building a spreadsheet from Gmail is still Gemini building a spreadsheet; what is new is not needing to open Sheets first.
Google draws the line for human review at actions with an external effect, a sent email, a scheduled meeting, which leaves the quieter step, deciding what that email says or which time slot counts as open, entirely up to the model. The preview card catches the outcome, not the reasoning behind it.
The usage limits also go unspecified on a feature this broad. A capability that reaches five app categories from one prompt is exactly what a cap would meaningfully constrain, and Google’s post does not say where that cap sits.
